A URL is the name given to the a web address you type in a browser. As the URL is created by the website you are visiting, usually you cannot edit it.

Once logged in, navigate to My Account → Administration → [side menu] ‘Forms’ → File library and you will see that your existing file library will be displayed. To add a new file to your collection, click on ‘Add’ and a pop-up will ask you to choose a file group, as well as selecting the file from your computer (once you have done this, the file name box will automatically populate). Finally, choose which resource groups you want to make the file available to and click Okay.

BigChange has been built to integrate with 3rd Party systems, WebServices is our API which allows customers to build their own integration between systems currently used, and BigChange. Common uses of WebServices include passing contacts, jobs and notes between software packages. Should you require an estimate for API access, please email [email protected]

Click on the login button at the top right of https://www.bigchange.com, under the password box, click 'Forgot Password' and follow the prompts.

A serial key is issued to those who run the JobWatch application on devices not issued by BigChange, they are only required to be entered in when the application is first installed. Should you purchase a new device, and require the serial code to be reactiviated, please contact RoadCrew by emailing [email protected]. Please provide your IMEI number, which can be obtained by going to the phone app, and dialing *#06#

Consent should always be given for you to track an employee, regardless of whether it is a company vehicle or not.

This depends on the consent which is received, which can be either impicit or explicit. For implicit consent it could be part of the terms and conditions of employment. A privacy button would be preferable to ensure the vehicle is still tracked in case its stolen but private journeys are not viewable by management or anyone else.

Yes, if its part of the terms and conditions for employment, for example you can only claim business mileage if you are tracked, and that any untracked journeys will not be reimbursed.

My account → Administration → [side menu] Account Settings → [section] Other device settings → ‘Timesheet needs to be started each shift before a job can be started’ / ‘Timesheet needs to be ended each shift before signing out.’

There are several reasons why jobs may not appear on your device. The most common causes are (1) that the job has been scheduled to the wrong resource in error. (2) that the wrong display has been selected from the jobs tab or (3) your device is not connected to the internet.

Using an alcohol wipe (for example a first aid wipe or glasses cleaner), clean the contacts fully on both the tablet, cradle and cable, first ensuring that the ignition is off and cable unplugged. If your device still does not charge, please contact RoadCrew.

Whilst our trackers are highly accurate, on occasion large buildings and areas of poor mobile phone coverage cause the tracker not to update as regularly as we would like. If the tracker is in an area of poor mobile phone coverage it cannot send its location back to us. However, it will save the tracking data and transmit it back to our systems when data connection is restored.

Additionally, you should double-check that the correct vehicle/tacho card is assigned to the driver/resource.

To check tacho card numbers: once logged in, navigate to My Account → Administration. Click on ‘Resources’ side menu and then ‘Add-edit’. Find the resource you are looking for and click Edit to open their pop-up. Within their pop-up, find the ‘Tacho card’ box and check that the details are correct.

Each job can be made up of several elements, including the delivery or pick up of stock/equipment or answering mandatory questions on a worksheet. If your office has marked any of these elements as mandatory, they must be actioned before a job can be finished. If you are prevented from completing a job, a message will be displayed advising what needs to be actioned.

This number represents the number of unread vehicle defects, along with any notes that are attached to vehicles or resources that have expired.

This number represents the number of notes' due dates which have expired for the Web User who is currently logged in.

Contacts which have a similar relationship should be stored together in a group. Typical groups include 'Customers', 'Sites', 'Merchants', 'Landlords' and 'Tenants'. The number of groups should be kept as concise as possible and will be specific to your industry. To create or edit one, navigate: My account → Administration → [side menu] Contact groups → Add/click on a contact group

The detail tab is where custom fields can be created, allowing relevant information to be stored against each record. The custom fields are stored on a contact group by contact group basis, and can be set up by selecting:

My Account -> Administration -> Contacts & Notes -> Contact Contact Custom Fields -> Selecting the group you want to add custom fields to from the drop down -> Clicking 'add' to add a custom field.

From within the quote, select 'Duplicate', in the prompt which appears select 'Invoice' from the document types and save.

A number of stock/equipment items grouped together for the purpose of delivery can be classed as a consignment. Using a consignment, all items contained can be easily confirmed in one go by the resource, rather than confirming them individually.

Multiple items of stock/equipment grouped together for the purpose of maintenance or service can be classed as system. For example, a site could have multiple security systems made up of different keypads, alarms and PIR's.

As non-consumable (serialised) items are unique, they can have their location easily updated. For consumable items, their location can either be updated through the JobWatch app or by reducing the quantity at one location/increasing it at another as required.

A non-consumable is a unique, serialised item, whereas a consumable is just a quantity. For example, you may own PPE (eg a harness) and each one is serialised and unique. However, you may also own uniform clothing which is not serialised and therefore a non consumable.

There are a number of places within JobWatch from which you can create a job. To create a group job, you can choose either New Group Job or Job Group Template from the dropdown menu. The first allows you to create a number of jobs which will form part of a group, useful where you have, for example, a one-off project. The second option allows you to use a Job Group Template (which you have already created in the back office) to quickly create a series of jobs, including a linked job group option. This option is useful for repeat groups of jobs, eg a regular collection/delivery round.

Suspending a job is putting it on 'pause', as only one job can be actively worked on at any given time. The types of jobs which allow this function is determined by navigating:

My Account -> Administration -> Schedule -> Job Types -> Select Job Type and Edit -> Device Tab -> Check, or uncheck the option 'Resources can suspend jobs'

You can make a customer name and signature mandatory on a specific job types (or for all, by repeating the steps for each type).

Select: My Account -> Administration -> Schedule -> Job Types -> Select Job Type and Edit -> Device Tab -> Check the option 'Jobs cannot be completed without a signature and a name'.

There are multiple ways in which this can be accomplished. The easiest way is in the list view of the schedule, under customer activity. Select 'not invoiced', remembering to set the date range and other search options as required.

It is possible that you are viewing 'actual' rather than 'planned' time. It could also be that your time zone settings are not correct (My Account -> My Settings -> Units -> Time Zone)

The colour of the icon denotes whether that resource is completing jobs as expected. If the icon is gray, they have not started a timesheet, if green, they have started a timesheet, and no jobs are 'at risk', if red, they have jobs which are at risk.

This number represents jobs which are scheduled to start within the past 8 hours, that are late to start, refused, suspended, or completed with issues.

This is the difference between when you planned for a job to take place, and when it was actually carried out by the resource. For example, you may plan for a job to start at 14:30, however due to traffic, the job actually started at 14:39. The planned time will always remain at 14:30, however actual will be 9 minutes later.

In order for a job to be scheduled, it requires three things. (1) A date for it to be completed. (2) A time for it to be completed (3) A Resource that will complete it. Unless a job has all three, it cannot be scheduled.

The route optimiser feature of the schedule may not be able to optimise a route if:

• Too many points (more than 20)

• Already optimal order

•Impossible route (eg. One of the contacts is in USA and the remaining jobs are in the UK)

• Route is in the past

• Optimised would fall outside of resources' working hours

• A route can also fail to optimise if the resources starting location cannot be determined (e.g. if a resource is set to start the day from the previous job location, but has not been tracked) In this case assigning a fixed starting location contact can allow route optimisation

• If the geofence of a job's site is not close enough to a named road

If you find that your daily schedule is showing job times different to what you would expect, please check that you have your Display settings to show ‘planned’ or ‘actual’ job times (as required).

To do this, when viewing your schedule in Daily view, check that in the filter options that ‘Job duration’ option is set to your preferred choice (planned or actual).

NB: To clear cookies/cached files & images from Chrome, press Ctrl&H when in a browser and your browsing History will open. From here, click on ‘Clear browsing history’ on the left-hand side and tick the boxes you want to clear.
