CRM Notes Hints

CRM Notes Hints

Area We’re Addressing

It would be useful if certain statistics were available when creating Notes, in a way that is similar to their appearance when scheduling a job.

What’s New

The number of Notes against a specific contact will now be shown.

A new role activity enables those with permissions to view hints whilst creating Notes.  Navigate: My account > Administration > [side menu] Web Users > Roles > [section] Contacts:

A minimum of 5 Notes must be completed before their owner will appear in the hints.

It is also possible to set up your preferred settings for Note hints and, if you prefer, to tailor it by making it available only for specific Note types. Navigate: My account > Administration > [side menu] Contacts & Notes > Note types:

Please do note the caveat shown beneath the settings when viewing the note hints, as response times for some Notes are delayed as a result of external forces and shouldn’t be attributed to the Note owner.

You can also edit each note type to control the number of months to be used in notes hint statistics, up to a maximum period of 12 months:

For further information, please read the Notes section of the CRM article.

Notes Attachments Tabs

Notes Attachments Tabs

Area We’re Addressing

Whilst customers have the facility to store multiple attachments to Notes, there is no simple way to search, order or update them in the way that you can in other areas of JobWatch, eg Jobs, Financial Documents.

What’s New

A new Attachments tab allows the user to upload multiple files at once and to sort or download all or selected items.  Hovering over the file will display the file details and information regarding who has permission to view the file.  Please note, this is now true for all attachment tabs.

For further information, please read the Notes section of the CRM article.

Bounce Back Handling

Email Bounceback Handling

Area We’re Addressing

Emails can be sent through the BigChange system for any number of reasons, eg job confirmation, approaching a prospect, etc.  Most emails are delivered without incident but occasionally a ‘hard’ bounce back will be received, usually, as the result of an incorrect email address or because the sender’s details have been blacklisted.

What’s New

Bouncebacks will now be signalled by a red exclamation mark:

  • SPAM –  the exclamation mark will appear next to the contact person with a message advising that this email address cannot be used and to contact the person before attempting further emails.
  • ‘Hard’ bounce back – the red exclamation mark will be accompanied by a message advising that future emails may not be sent until resolved.

In both instances, any additional information from the mail provider will also be displayed.  Users can unblock persons once the issue has been resolved.

Administration

User Event Logging Improvements

User Event Logging Improvements

Area We’re Addressing

The User Event Logging function allows administrators to review actions undertaken by people using the BigChange platform.  It would be useful if they could also view changes made by users.

What’s New

There is now an option to ‘display changes’ when entities have been updated.  When this option is selected, the updated fields are highlighted.

Clicking on the eye icon will open the item.

Schedule

Smart Search JobCard List

Smart Search JobCard List

Area We’re Addressing

Many customers use a mixture of Job Cards, some which are created by BigChange and others which are custom made using Templates.  Where the number of different types is large, it can be frustrating searching the list for the right one as they are not listed in any specific order.

What’s New

Job cards are now displayed alphabetically and there is a smart search option.

Schedule

Improve Unscheduled Jobs Loading Time

Improve Unscheduled Jobs Loading Time

Area We’re Addressing

Where customers have a large number of unscheduled jobs, loading the schedule view can take some time.

What’s New

Customers can now enable a setting on their account that changes the behaviour of unscheduled jobs to improve performance.  Navigate: My account > Settings > [section] Website

It will:

  • Load closed categories with count
  • Replace search with ‘Click `view all` to enable search
  • Load all jobs and enable search when ‘view all‘ is selected
  • Require you to open a category in order to load jobs not yet loaded in that category
  • Mean that search only works when user presses enter
  • Mean that real-time updates of that panel won’t work until a user clicks ‘view all‘. Dragging a job on that panel will cause the job to disappear.
