Customers have created some beautifully designed documents with our much-loved Word Add-In but it could be even better if they were able to include sub-templates to create, for example, Job cards with recurring Worksheets.

What’s New
We have updated the Word add-in to allow you to build templates that make use of the sub-template feature. Sub-templates can be taken from either existing Word templates or templates created online. It is not possible for an online template to use a sub-template created in Word.

Please click on the separate article for more information on Templates or the Word Add-In.

Global

Sort Favourite Views

Sort Favourite Views

Area We’re Addressing

It would be fantastic if we could enable users to sort bookmarked Favourite views.

What’s New

Global views (shown in bold) now appear at the top of Favourites in alphabetical order and, where global views exist, they are segmented to separate them from an individual’s Favourites. Individual views can now be dragged and dropped into your preferred order by clicking on the ‘Reorder‘ button.

CRM

Person Custom Fields

Person Custom Fields

Area We’re Addressing

Customers would like an area in which they can store specific information against a contact eg LinkedIn profile, DOB.

What’s New

Navigate: My account > Administration > [side menu] Contact & Notes

There is a new field Person custom Fields.  This will open a popup which allows you to add additional custom fields.

Once added, these fields will appear in your CRM on a Contact’s card on the Persons tab:

For more information on Persons, please read the relevant section of the CRM article.

Imports

Job Import/Export, SLA & Recurrence Patterns

Job Import/Export, SLA & Recurrence Patterns

Area We’re Addressing

Customers are unable to export jobs from the list view or see Service Level Agreements (SLA)/recurrence pattern details.  It would be useful if these fields could be exported and if users could import a job with an SLA.

What’s New

When users create a blueprint for jobs they are now able to include the relevant fields for recurrence patterns and SLAs.

When importing, users can manually map a column to match SLAs.

Update Job Group Settings Via Import

Update Job Group Settings Via Import

Area We’re Addressing

At present it is possible to create group jobs via the standard import, however, it is not possible to update the group job settings, such as linking them and displaying them as a group on the device.

What’s New

An additional import is now available, allowing users to edit existing group jobs and update them.

A further update to the existing import now allows users to import a job group order number.

Exports – Entity ID

Entity IDs on Exports

Entity IDs on Exports

Area We’re Addressing

When using web services or when wanting to assign a unique value during an update, it is useful to be able to apply the Entity ID, as this will always remain fixed.

What’s New

The entity ID will now be included on all data exports.

Where permitted through the import, it will be possible to update entities by providing the ID in place of a reference.  If an ID and reference are provided, the reference will match the new one provided in the update.

Contractor on Job List

Contractor on Job List

Area We’re Addressing

When exporting data from the system, information around the job contractor is not shown on the export.

What’s New

The entity ID will now be included on all data exports.  Where permitted through the import, entities may be updated by providing the ID in place of a reference. Where an ID and reference are provided, the reference will be amended to match the new one in the update.

Contracts

Invoice Jobs Against Contract that are Planned or Due in a Period

Invoice Jobs Against Contract that are Planned or Due in a Period

Area We’re Addressing

Users can invoice for a contract based on the financial line items created via jobs for a specified time period. The date which determines which jobs are included can be either the date on which jobs are created or completed.  It would be helpful if there were option available to base it on the dates jobs are due to be completed or the date jobs are planned to take place.

What’s New

An update to the Jobs Filters field allows you to select from a single, dropdown menu.  Options are:

  • NewAll jobs planned between invoices‘ – this will include all jobs with a planned start date which falls between the defined date parameters. Where jobs are rescheduled, the most recent date will be used.  It will also include instances where a job’s resource is changed but the date remains scheduled.
  • New ‘All jobs due between invoices’ – this will include all jobs due for completion between the defined dates.  This will exclude any jobs without a scheduled completion date but will include any which have a time constraint which would fall within this invoicing period.
  • Existing ‘All jobs completed between invoices’
  • Existing ‘All jobs created between invoices’

Please note, when selecting these new methods, additional precautions should be taken.  A job can have several planned/due dates and where changes occur after an invoicing period has taken place, care should be taken to avoid double-invoicing.

Fleet & Resources

Note Creator & Creator Date Filters

Note Creator & Creator Date Filters

Area We’re Addressing

When using Notes in the Fleet and Resources section, some filter options available within the CRM section are missing ie, the creation date and note creator fields.

What’s New

These filter options have now been added:

Alerts

Contacts with Persons Flagged ‘x’ & Update to Dynamic Recipients

Contacts with Persons Flagged ‘x’ & Update to Dynamic Recipients

Area We’re Addressing

New users don’t always understand that a dynamic list of recipient options will only appear when they begin typing in the ‘Send to’ box.  Additionally, they may not appreciate that they are displayed for all alert types – whether they function or not.

When Alerts are created which trigger and send an email and/or SMS to the contact, it would be useful if there were additional options which allow Persons with particular flags against them, eg CEO, Customer Service, Finance, Primary Contact, Sales,  to also receive an Alert.

What’s New

The following new options have been introduced. When selected the user must pick a person flag.

  • Contact’s email flagged
  • Contact’s mobile phone flagged
  • Parent contact’s email flagged
  • Parent contact’s mobile phone flagged

Alerts will always trigger, but if the (contact/parent) contact does not have any flagged persons, no emails/SMS’s will be sent.

Users will be able to select ‘dynamic recipients after the first section of the alert has been populated. More than one can be selected at a time.

For more information on Alerts, please read the separate article.

Administration – User Event Logging

Restore Deleted Items

Restore Deleted Items

Area We’re Addressing

When customers accidentally delete items their only recourse is to put in a data fix request, which can take time.

What’s New

Using User Event Logging, users can click on certain entities to restore them.  These include:

  • Financial documents
  • Vehicles
  • Contacts
  • Resources

Improvements To User Event Logging

Improvements To User Event Logging

Area We’re Addressing

User event logging is a feature providing data which allows you to review user login activities whilst users on the BigChange platform.

It would be nice if we could view more rows at a time and have the ability to filter based on web users that don’t have active licences.

What’s New

The following improvements have been made:

  • You can filter based on web users that don’t have an active licence.
  • There will be an option to display more than 10 rows at a time.
