Predefined Invoice Item 'Sets'

Predefined Invoice Items Sets

When creating a financial document using predefined invoice items, adding multiple items can be time-consuming.  It would be useful if this could be achieved in a grouped format, allowing items commonly used together to be added simultaneously.

What’s New

A new section, ‘Predefined Invoice Items’ set’ has been added in Administration, allowing Users to create sets of items likely to appear together.  Navigate: My account > Administration > [side menu] Financial > Predefined invoice items’ set

When creating a Predefined Invoicing Item (My Account > Administration > [side menu] Financials > Predefined Invoicing Item) you can then select the set(s) which you wish the item to belong to:

List View

When creating a financial document, users can choose to add an individual Predefined Invoice Item or add a Predefined Invoice Item set. Items can be removed from a set within the financial document if not required, without affecting the set for future transactions.

The Import feature has been updated to include 2 new columns, ‘Group’ and ‘Set‘. Please note that this only allows for the importing of one set name at a time.

Customers enjoy the ability to duplicate financial documents, however, adding the flexibility to create them for a different contact would be even better.

What’s New

When duplicating financial documents or Sales Opportunities, the user can now change the contact and delivery site. Please note that the only exception to this is Purchase Orders, which have been excluded because of the stock movement element of their process.

Alerts exist which trigger when a vehicle/resource is ‘driving x% over the speed limit’, however, users may want to trigger alerts based on either a fixed speed or when the speed limit is exceeded by a fixed number.

What’s New

Two new alerts are available that can be created against either a resource or a vehicle:

  • Drives (x) mph/kph over the speed limit
  • Drives (x) mph/kph or over

Our network has offered amazing opportunities for collaboration but although customers can create listings it would be useful if they could pose queries directly with the other party prior to making a connection request.

What’s New

When creating or editing a network listing an optional field can be populated providing contact information.

A popup will now open which you must click Agree on to save:

Advisory: it is recommended that you do not include information on your listing which you would not wish to be contacted on outside of office hours.

When viewing a network listing or an existing collaboration, click on the contact icon and the contact details can then be viewed.

When the Follow On Jobs (automation) feature is used it creates a new job using the next number in sequence for the type of configuration set up for it in Administration.  It would be appreciated if the original job reference could be used and have an additional reference number appended to it.

What’s New

When creating the automation trigger, there is a new setting ‘Job Reference Used‘.

There are two options:

  1. Taken from new job type – this is the current behaviour and will remain the default value
  2. Taken from triggering job type and add suffix after reference (eg: -001) – this option will use the original job reference and add a suffix to differentiate it from the original job.

Whilst job recurrences work brilliantly, some customers find that they have accidentally created additional jobs eg if they create the job on the 1st of the month but want the recurrences to take place on the 10th of the month, the first month could result in 2 jobs, one on the 1st and one on the 10th.

What’s New

A new option in Administration eradicates this issue by allowing you to decide whether you want the recurrences to follow the pattern of when they were created or when they were scheduled.

A hint will appear in red to advise you if there is an issue with the recurrence you’ve requested.

The Positioning of Worksheet Questions

On larger Worksheets, although users can create questions by clicking “add” from either the top or bottom buttons on the questions list, new questions are automatically added to the end of the Worksheet.

What’s New

An additional option, ‘insert after‘ allows for accurate positioning of new questions.

Favourite Views

Save Favourite View As URL & Open In New Tab

Favourites views are one of our most popular new features but could be even better if customers could access them by way of a URL stored as a bookmark in their general browser and ideally they would open up in a new tab.

What’s New

  • You can click on the link icon to save the URL to your browser as a bookmark.
  • Users can click Ctrl/CMD + the favourite and the view will open in a new window. Text has been added as a reminder.

It would be welcomed if the User Event Logging functionality within JobWatch could be expanded to allow Administrators to review more actions taken by people when using the BigChange platform.

What’s New

  • You can now export the current view to Excel, by providing the email address you want the export to be emailed to after clicking on the Export CSV icon.

  • Worksheets on a job are also logged.

When an incoming call comes from a number that is not recognised in CRM, users are given the option to either create a new contact or add to an existing one.  However, when you select ‘add to an existing contact’, it’s difficult to distinguish between parents and children.  It would also be helpful to see the contact before assigning it, to ensure that the correct one is selected.

What’s New

  • When prompted with the option to assign the person to the new contact, the parent contacts are displayed in bold.

  • Once a selection is made, a new ‘eye’ icon allows the user to view the contact to make sure they have selected the correct one.

Flags

Increase Name Limit

Increase Character Limit for Name

Labels for flags are currently limited to 20 characters but it would enhance the feature if this could be increased.

What’s New

The flag name limit has been increased to 50 characters.

Flags are used in a number of areas across the BigChange system but examples of how to create and use them can be found in

  1. The Administration > Sales opportunities’ flags section of the Sales Opportunities article.
  2. The Notes > Note flags section of the CRM article.
