Domestic Reverse Charge for Customers in the Construction Industry

Customers in the construction industry require a method that allows them to comply with the process of ‘Domestic Reverse Charge‘ in which customers need to repay HMRC themselves.

What’s New

To help you to comply with the new HMRC regulations, we have introduced some new functionality into the BigChange system:

  1. A new Profiles subtab has been added within the VAT codes popup, allowing you to select your desired scheme option, select Domestic Reverse Charge.  Navigate: My account > Administration > [side menu] Financial > VAT codes.
  2. In the CRM, you can create a VAT Profile for each contact.  When set up, this will automatically replace the previous tax code with the new one for all eligible items, eg T1 > T21. Navigate: CRM > [side menu] Contacts > select contact > [tab] Financial  and use the new VAT tab to set up a customer-specific VAT Profile. When applied, this is used to change the VAT behaviour of line items when they are added to documents/jobs. They can be applied to only the specific parent contact and/or their children, depending upon the scheme requirements. NB: non-eligible items can be exempted in accordance with the scheme. Domestic Reverse Charges will still be calculated and deductions will be listed beneath the Margin field in your Financial documents.
  3. Additional Keywords have been added. Navigate: My account > Administration > [quick links menu] Templates [tab] > Financial > [section ] Financial  there is a new Keyword, ‘VAT profile text‘. The text added will differ depending on the scheme applied.  For Domestic Reverse Charge it will be:  ‘Customer to pay the VAT to HMRC: {Deduction Amount}’. New Keywords also appear in: My account > Administration > [quick links menu] Templates [tab] [section ] Contacts & notes there are new Keywords, VAT Registration Number, UTR, Organisation Type & VAT Profile.   Standard Financial documents will soon be available for use with DRC but in the meantime, please create and use a Template for DRC invoicing.

We currently have some amazing functionality around job creation and patterns: job group templates, recurrence patterns, blueprints, linked job groups, etc.  However, it would be even better if customers were able to create a recurrent series, including variable job types, within their job group templates.

What’s New

When creating a Job Group Template there is now the option ‘jobs in group are recurring‘, informing the system that there is an irregular pattern which will recur periodically, x number of times.  You can additionally opt to link the jobs if preferred. Finally, these can be imported en masse within jobs and at a contract level, if required.

So when might this be used?  If, for example, you have the following recurring job group template for Darlington International:

Service Type A: Site Survey, Service & Machine Run Test (160 minutes) with a 3-month interval.

Service Type A: Site Survey, Service & Machine Run Test (160 minutes) with a 3-month interval.

Service Type B: Site Survey, Machine Inspection, Service & Machine Run Test (265 minutes) with a 6-month interval.

No Service: no work is carried out at this interval because Service Type B requires a 6- month interval.

Setting this up as a recurring job group template would ensure that this pattern is scheduled as a repeat for x number of times, as per the contract, without the need to repeatedly input it.

The dialogue feature in notes is a great way to update colleagues but there are times you just want a one-click response to something without having to type in a note.  Ideally, these could also be applied to the comment on any child notes.

What’s New

Hovering over a comment will allow you to add an emoji, select from like, love, applause and dislike:

The person who added the comment will be notified by email when someone reacts to it.

If the note has a child against it, the Add + button has a second option, Add to children +.  Selecting this option adds the comments to child notes.

This second option will only show for those with permissions set up in the back office.  Navigate: My account > Administration > [side menu] Web Users > [section] Contacts:

Whilst it’s great that separate attachment tabs are now available in so many areas of the BigChange system, they could be easier to use.

What’s New

As well as the current grid view, a new list view has been introduced with the following columns:

  • File name
  • File size (if known)
  • Date uploaded
  • Visibility (where relevant in the context)

Both display types offer the existing function options but now also allow users to search by name to reduce the search results returned.

Your default display preference can be set in your user account setting. Navigate: My account > My settings > [section] Website:

It is only possible to have one percentage value stored against a specific tax code.  However, were the standard (T1) tax rate to change, eg from 20% to 17.5%, then it would be useful if tax codes could have variable values to allow for this.

Each tax code will have variable percentage values and a date value, allowing transactions after the changeover date to be charged at the new rate but protecting the previous code for historical transactions.

Where line items need to be charged at the previous rate, users will have the facility to manually choose it.

It would be helpful if,  when viewing notes in CRM, it was possible to find Notes relating to a single Person.

What’s New

A new Person filter allows users to select the individual whose Notes you wish to view.

For users who use the incoming call popup, two new buttons are available: one to show open notes against the Contact, and another to show open notes against the Contact Person:

Customers often import stock and equipment, however, at present, there is no way to import/export some fields.

What’s New

When running an import, it is possible to add optional columns for:

  • Nominal code
  • Department code
  • Batch number
  • Stock code

These columns can be selected in blueprints for both imports/exports. New fields do not appear on the standard export.

The make and model of stock items can be added at different times, by various users and there is no easy way of identifying when they were created.

Customers would like to build templates that include the resource and vehicle reference or create an invoice with the due date, however,  these template keywords don’t currently exist.
