Ever wished that you could set up Alerts around Expenses requests and status changes? Well, we have good news; these can now be set up in the Alerts tab.
Alerts on Flags
Wouldn’t it be helpful if you could create an Alert that triggers when items are flagged? We thought so!
Two new alerts are available: one that triggers when a flag is added, the second which triggers either before or after the date saved against the flag.
These alerts can be set up against all entities that flags can be saved against.

We know that keeping stock levels just right is essential to the smooth running of your business and its finances, so we have introduced these brilliant reorder alerts for both vehicles and contacts.
Jobs and Job Finance
Purchase Order Creation Default Behaviour
We know that having a tight hold on your Purchase Order process is essential to controlling your finances, so we’ve introduced a new setting to help you to do that.
My account > Administration > [Quick Links] General account settings > Financial > Purchase order creation limit for users without a series limit set
This new option means that you no longer have to set series limits against newly created web users, as purchase orders will need approval before being issued.
Once this option is activated, it will be applied to existing web users.
Unassign a Financial Document from a Job
Mistakes happen to the best of us and this feature allows for that. Using the Unassign Job button, you can now easily remove a Financial document from a job, ready for the correct reassignment whilst retaining the information and reference number.
Financial Document Recurrences
We know that some of you create the same financial documents each month, so we have now added the option to set recurrences against all types of financial documents.
Prevent the Creation of Job Types During Job Imports
We know that you love our imports because they are a tremendous time-saver but occasional errors in the data you’re importing can sometimes lead to unwanted additions.
We have now added an error message to prevent this from happening with Job Types. When a row contains an unknown Job Type, the error report will display
‘Job type name not found, please choose a job type which already exists or create a new job type in the system before reimporting.’
Search By Contract Reference
Wouldn’t it be great if you could filter/search by contract reference? This can now be achieved via the CRM

Auto-referencing for Contracts
Wouldn’t it be more convenient if our brilliant automatic referencing functionality could be extended to cover contracts as well? …
Once automatic referencing has been set up against contracts, the ‘reference’ field will no longer be mandatory. When a contract is created, a unique reference number will automatically be allocated unless one has already been manually added.
Archive Note Types
Have you ever wished that you could retire old Note types so that you could streamline your Notes? The new Archive function allows you to do just that, removing the option to create new Notes of that type whilst still allowing you to search for any previously created.
My account > Administration > [side menu] Contacts & Notes > Note types
Archived note types are visible in the back office list if the Filter box to display them is ticked (1).
Archived note types can also be restored by clicking on the Restore button (2).
Although you can no longer create new notes of an archived type, at the front end you can still view, edit and filter them from the bottom of the filter list in CRM > [side menu] Notes > Type. They are also still available for Report purposes.
Stock & Equipment
Search By Stock/Equipment Serial Number
Need to find a piece of stock or equipment quickly? This is now easier than ever because you can now search by serial number in relevant areas of the BigChange platform.
Wouldn’t it be helpful if some documents could have a background image added, eg a watermark or notice that it is a cancelled or a copy document? Well, now you can do just that, with options to upload an image and set when it appears.
My account > Administration > [Quick links] Templates > Select Template > [Field] Background Image:
These can be made to apply conditionally by adding a formula using the Formula button outlined on the first image above:
Image Size for Worksheet Answer
We know that you want your JobCards to look perfect and so we’ve extended the image resizing option to include pictures and signatures for Worksheet answers on subtemplates.
New Template Keyword: Worksheet Table.
Wouldn’t it be great if the full worksheet table shown on standard jobcards could be inserted into a template via a single keyword? Now you can by using ‘Worksheet Table’.
Navigate: My account > Administration > [Quick Links] Templates > select template > Edit > [button] Insert Keyword > [tab] Jobs > [section] Job > Worksheet Table

Template – New Keyword: Page Break
We know that you like your documents to look perfect, so we have introduced a page break keyword so that you can make each page look ‘just so’.
