Executive Summary
White labelling is the process whereby any email that is sent using the BigChange website appears to come from an email address that you manage, such as john.doe@yourcompany.com, rather than jobwatch@bigchange.com
It is imperative that you set up white labelling to ensure that when confirmation, invoices, marketing (etc) emails are sent, they come from your preferred email address, rather than the default of jobwatch@bigchange.com. Failure to do so will mean that when users reply, instead of going to your monitored inbox, emails will go to the jobwatch@bigchange.com inbox, which is unmonitored.
Types of White Labelling
There are three types of white labelling ‘system-wide’, ‘user specific’ and ‘hybrid’. The differences are explained below.
1. System-wide
The email address which is used, is used for all web user accounts (including ones which are created at a later date) regardless of which user is logged in.
Positives of Using This Method:
- Every email comes from the same mailbox, so if any web user is away, the response will be seen by other people.
- Any new web users added to your BigChange system at a later date will automatically be configured for white labelling, no additional action is required.
Negatives of Using This Method:
- No real drawback, this is a recommended method.
Please note, this is the email address which will be used for things such as alerts.
2. User-specific
The email address which is used, is specific for each web user.
Positives of Using This Method:
- Responses to emails sent go to the correct person rather than to a general inbox.
Negatives of Using This Method:
- You need to ensure that any new web user follows the steps to enable white labelling. Failure to do so will result in the new web user’s emails coming from jobwatch@bigchange.com
- As such, this method is only recommended under very specific circumstances.
3. Hybrid
A standard email address is used for all accounts (including ones which are created at a later date) with some exceptions.
Positives of Using This Method:
- Emails from key users can come from their own email addresses, allowing the appearance of personal responses, whereas emails from the team as a whole can come from a central point.
- Any new web user will come from the general email address until changed manually. For example, if we created the web user Bob Andrews. Until changed, his emails would come from office@yourcompany.com
Negatives of Using This Method:
- No real drawback, this is a recommended method.
Set up
System-wide set up
- When logged in as an administrator, click on ‘My Account’, ‘Administration’.
- Under ‘Quick Links’ select ‘General Account Settings’
- Right at the bottom of the page, there is a section entitled ‘White Labelling’
In box 1, enter the email address you want to use.
In box 2, enter the ‘name’ of who you want the email to come from.
In box 3, enter who you want text alerts to come from. Please note: this cannot exceed 11 Characters.When you have done click the ‘confirm your email address button’ to which you will be presented with the following prompt: - You will then receive an email from Amazon similar to the below.
As directed, click on the link in the email.
- A web page will open stating that the email address has been successfully verified.
- White labelling has now been set up and emails from any web user who signs into to your BigChange account will now come from the email address you have verified.
User-specific Set-up
- When logged in (as any type of user account) select ‘My Account’ and ‘My Settings’. NB, those who are not administrators will not be able to see the ‘Administration’ tab.
- Right at the bottom of the page, there is a section entitled ‘White Labelling’
In box 1, enter the email address you want to use.In box 2, enter the ‘name’ of who you want the email to come from.When you have done click the ‘confirm your email address button’ to which you will be presented with the following prompt: - You will then receive an email from Amazon similar to the below.
As directed, click on the link in the email.
- A web page will open stating that the email address has been successfully verified.
- White labelling has now been set up and emails from any web user who signs in to your BigChange account will now come from the email address you have verified.
- Repeat this step for each web user linked to your BigChange account.
Hybrid Setup
- When logged in as an administrator, click on ‘My Account’, ‘Administration’.
- Under ‘Quick Links’ select ‘General Account Settings’
- Right at the bottom of the page, there is a section entitled ‘White Labelling’
In box 1, enter the email address you want to use for ‘general’ users.In box 2, enter the ‘name’ of who you want the email to come from.In box 3, enter who you want text alerts to come from. Please note: this cannot exceed 11 Characters.When you have done click the ‘confirm your email address button’ to which you will be presented with the following prompt:
- You will then receive an email from Amazon similar to the below.
As directed, click on the link in the email.
- A web page will open stating that the email address has been successfully verified.
- White labelling has been set up for all web users, you now need to configure individual accounts for those whom you want to use their own.
- When logged in as the user you want to configure select ‘My Account’ and ‘My Settings’. NB, those who are not administrators will not be able to see the ‘Administration’ tab.
- Right at the bottom of the page, there is a section entitled ‘White Labelling’
In box 1, enter the email address you want to use.In box 2, enter the ‘name’ of who you want the email to come from.When you have done click the ‘confirm your email address button’ to which you will be presented with the following prompt:
- You will then receive an email from Amazon similar to the below.

- White labelling has now been set up and emails from any web user who signs in to your BigChange account will now come from the email address you have verified.
- Repeat this process for each web user you wish to have individual white labelling.
This feature extends the use of White Labelling to include out of office response when tagged in a note. It ensures that the notification is sent to the White Labelled email address but also that the sender receives an out-of-office response. Navigate: CRM > Notes
